How Safire Solutions Transformed a NW OKC Veterinary Clinic with Cutting-Edge Technology

In the heart of Northwest Oklahoma City, a veterinary clinic recently underwent a remarkable technological upgrade, thanks to the expertise of Safire Solutions. Tasked with transforming this clinic into a state-of-the-art facility before its grand opening, Safire Solutions provided an array of cutting-edge technology solutions tailored specifically for veterinary care. From relocating and configuring server racks to installing advanced Ubiquiti camera systems, the project aimed to enhance both communication and security within the clinic. By integrating VOIP phone systems and efficient communication solutions, the clinic was able to ensure uninterrupted service for its staff and clients. This blog post will explore the strategic approaches taken to enhance clinic operations and the positive impact these changes have on the quality of pet care provided.
Upgrading Clinic Infrastructure
The foundation of any modern veterinary clinic lies in its technological infrastructure. Safire Solutions began the transformation process by focusing on upgrading the clinic's core systems, ensuring a robust and scalable foundation for all subsequent improvements.
On-Site Survey and Planning
Before any work began, Safire Solutions conducted a thorough on-site survey of the newly acquired building. This crucial step allowed our team to assess the existing infrastructure and plan for the upcoming remodel.
The survey involved mapping out the current network layout, identifying potential challenges, and determining the optimal locations for new equipment. This proactive approach helped minimize disruptions during the construction phase.
By collaborating closely with the veterinarian and construction crews, we created a comprehensive plan that aligned the technological upgrades with the overall remodeling timeline. This coordination was essential to ensure all systems would be operational by the clinic's targeted opening date.
Network and Server Configuration
With the plan in place, our team proceeded to reconfigure the clinic's network infrastructure. This process involved relocating and optimizing the server rack to improve efficiency and accessibility.
The centerpiece of the new network setup was the Ubiquiti UDM Pro router, which provides enterprise-grade security and network management capabilities. Paired with Pro Max switches, this configuration offers scalable performance to meet the clinic's growing needs.
We rerouted Ethernet cables through the false ceiling to the new server rack location, ensuring clean cable management and optimal signal strength throughout the facility. This careful planning and execution resulted in a network infrastructure ready to support the clinic's advanced technological needs.
Enhancing Communication Systems
Effective communication is vital in a veterinary clinic setting. Safire Solutions implemented state-of-the-art communication systems to streamline staff interactions and improve client service.
VOIP Phone System Setup
The clinic's communication backbone was built around a modern Voice over Internet Protocol (VOIP) phone system. We reconfigured six existing Yealink VOIP phones for the new service, ensuring seamless integration with the clinic's operations.
VOIP technology offers numerous advantages over traditional phone systems, including cost savings, flexibility, and advanced features. By leveraging the clinic's internet connection, the VOIP system provides crystal-clear call quality and the ability to scale easily as the clinic grows.
The implementation process involved configuring each phone to work with the new service, ensuring proper connectivity, and testing call quality throughout the facility. This meticulous setup guarantees reliable communication for both internal staff and client interactions.
Efficient Call Management Features
To further enhance the clinic's communication capabilities, we implemented advanced call management features. These tools are designed to improve efficiency and ensure that no client call goes unanswered.
Hunt groups were set up to distribute incoming calls across multiple staff members, reducing wait times and ensuring that clients can quickly reach the appropriate person. This feature is particularly useful during busy periods or for handling emergency calls.
Call queues were also configured to manage high call volumes effectively. This system allows clients to be placed in a queue when all staff members are busy, providing estimated wait times and the option for callbacks, thus improving the overall client experience.
Advanced Security and Monitoring
In a veterinary clinic, security and monitoring are crucial for ensuring the safety of patients, staff, and valuable equipment. Safire Solutions implemented cutting-edge security solutions to address these needs.
Camera Systems for Clinics
The clinic's security was significantly enhanced with the installation of a comprehensive Ubiquiti camera system. We reconfigured four existing Ubiquiti G5 dome cameras and added six new G6 dome cameras, two G6 bullet cameras, and one AI LPR camera.
This diverse camera setup provides complete coverage of the clinic, including common areas, isolation rooms, treatment rooms, boarding facilities, and outdoor spaces. The high-resolution cameras ensure clear footage for both security and monitoring purposes.
The AI-powered License Plate Recognition (LPR) camera adds an extra layer of security by automatically logging vehicles entering and leaving the clinic premises. This feature can be particularly useful for tracking after-hours visits or in case of security incidents.
Real-Time Monitoring Solutions
To make the most of the advanced camera system, we installed a Ubiquiti Viewport for real-time feeds. This solution displays live camera feeds on an HDMI display mounted in the main office space.
Real-time monitoring allows staff to keep an eye on multiple areas of the clinic simultaneously, improving patient care and overall clinic management. It's particularly useful for monitoring animals in isolation or recovery without the need for constant physical presence.
The Viewport system is user-friendly, allowing staff to easily switch between different camera feeds as needed. This flexibility ensures that the clinic can adapt its monitoring focus based on current needs or situations.
